SUMMARY

Administrative Assistant at Egerton University with over 10 years of experience. I am equiped with excellent organization and communication skills reporting to the Dean of the Faculty. I am excellent at multitasking and managing high level workloads within strict deadlines. I am versatile and diligent and can work with minimum supervision.    

In  addition,  I  am  a  good  team  player  and have developed close working rapport with my fellow administrators and even my seniors, being considered as mature, energetic and hardworking as well as being able to maintain confidentiality in sensitive matters.  Given my qualities and experience, I believe I can be an invaluable asset to the University.

WORK EXPERIENCE

1. November 2013 to Date - Egerton University

Position:  Administrative  Assistant  in  the  Principal’s  Office  Nakuru  Town  Campus College (November 2013 – July 2016), Faculty of Commerce (August 2016 – February 2018), Faculty of Science (March 2018 – March 2019), Faculty of Environment and Resource Development (April 2019 to March 2022), Faculty of Arts and Social Sciences (March 2022 – Present)

Responsibilities

  1. Supervise staff in the designated area ( 1 driver, 1 Messenger, 1 Clerk, 2 Secretaries)
  2. Coordinating  effective  office  diary  and  booking  appointments  for  the principal.
  3. Type  and  process  information  including  letters  and  reports  as  may  be designated by the principal.
  4. Deal with client issues as designated by the principal.
  5. Follow up issues at NTCC and the Main Campus in Njoro as designated by the principal.
  6. Arrange, organize and take minutes of meetings called for by the principal.
  7. Processing examination results for all the Faculty students
  8. Processing and printing of transcripts of all the students of the Faculty
  9. Process and produce graduation lists for the Faculty
  10. Check and update transcripts for the students in the SRMS
  11. Taking minutes in various Faculty and University Committees
  12. Coordinate general faculty office services.
  13. Process data for administrative planning in the Faculty
  14. Assist in information processing and dissemination in the Faculty.
  15. Perform any other duties as may be designated by the immediate supervisor.

Key Achievements:

  1. Carried out 100% data importation of student examination records from SRMS to ARMS at the Faculty of Environment and Resources Development (FERD) making the Faculty the only one to graduate students fully in ARMS in the November 2019 graduation.
  2. Actively participated in various University projects such as Academic Records Management System (ARMS) Data Importation workshop and was a member of the ARMS Data Clean up Committee.
  3. Offered assistance to other Faculties namely FEDCOS, Commerce, Science and FASS while working at FERD
  4. Cleared all the students’ backlog data by 80% hence processing the highest number of graduands in the Faculty of Commerce.
  5. Provided exceptional support to the deans and co-workers, hence increased the overall efficiency by 30%
  6. Provided backup support to other departments, which was highly admired by the dean.

2. November 2012  to  October 2013  - Travelplan Ltd

Position: Personal Assistant (Reporting to the Director)

Responsibilities:

  1. Process Travel Visas for the Director.
  2. Order building materials from suppliers and liaise with them to ensure delivery of the materials in a timely manner
  3. Request for the money from the directors and make payments to suppliers upon delivery of building materials.
  4. Liaise with the contractor to find out what materials are needed on site and make payments to construction workers.
  5. Record and account for all the monies received
  6. Follow up on land documents such as title deeds, transfer consent at the ministry of lands
  7. Make reports on daily activities which include tasks to be covered, tasks covered and tasks not covered.
  8. Ensuring all documents are filed and kept safely.
  9. Carrying out other duties as requested by the directors from time to time.

Key Achievement:

  1. Supervised the pilot project of the construction of student Hostels

3. May 2010 - October 2012 - Chandaria Industries Ltd

Position: IT Assistant (Reporting to the IT manager, No supervision here, entry level job)

Responsibilities:

  1. Manage e-Mail Requests by receiving all incoming email and re-route emails to
  2. respective recipients
  3. Ensure that outgoing emails are accurate and of high integrity
  4. Receive and log calls from users and Liaise with other team members to facilitate completion of service requests
  5. Maintain accurate, up-to-date files of all records assigned; so they are readily accessible to authorized staff within the organization.
  6. Tracking of the inventory and maintain sufficient levels of equipment and IT consumables as needed
  7. Assist with contacting vendors and service providers of IT equipment and supplies for efficient and effective office operations
  8. Designing of applications for instance an inventory system used to keep records of incoming and outgoing printer cartridges and toners using PHP and MySQL.
  9. Designing of websites using PHP as the front end platform and MySQL as the backend platform
  10. Installing of software applications including Windows XP and Windows Vista, together with antivirus software.

Key Achievements:

  1. Developed an inventory application to help monitor the IT supplies for the Company.
  2. Updated the Company’s website improving its user interface.
  3. Improved email correspondence and flow of information in the company by 30%
